Using Out-of-Network Benefits

Piece of the Puzzle Counseling & Wellness is a private-pay practice, meaning I do not bill insurance companies directly. However, many clients find that they are eligible for partial reimbursement through their out-of-network benefits. To support this process, I provide detailed superbills upon request, which you can submit to your insurance provider for potential coverage.

To further simplify this, I have partnered with Mentaya, an optional third-party service that automates the claims process for a small fee. Mentaya handles the paperwork on your behalf to help you get reimbursed faster. While this service is available to enhance your experience, it is entirely elective and separate from the clinical services provided by the practice.

Please note that reimbursement is not guaranteed, and clients remain responsible for the full session fee at the time of service. It is highly recommended that you confirm your specific out-of-network coverage with your insurance provider prior to beginning our work together.

Reduced Fee Access Program

Piece of the Puzzle Counseling & Wellness offers a limited number of reduced-fee therapy spots for clients experiencing financial hardship. Availability is limited, and submitting an application does not guarantee approval. Applications are reviewed based on financial circumstances, service needs, and current reduced-fee availability.

Reduced Fee Program

At Piece of the Puzzle Counseling & Wellness LLC, I believe that financial circumstances should not always be a barrier to receiving quality mental health care. To help increase access to therapy, the Practice reserves a limited number of reduced-fee appointments for clients experiencing financial hardship. Reduced-fee appointments are offered based on financial need, program availability, and clinical appropriateness. Participation is reviewed every three to six months and is not guaranteed indefinitely. If you believe you may benefit from the Reduced Fee Program, please contact the Practice to inquire about current availability.

A limited number of reduced-fee appointments (currently five) are available at any given time.

Insurance Information

Piece of the Puzzle Counseling & Wellness LLC is currently a private-pay practice and is not in-network with insurance companies. Upon request, a superbill can be provided for clients who wish to seek possible reimbursement through their out-of-network insurance benefits. Because every insurance plan is different, reimbursement cannot be guaranteed. Clients are encouraged to contact their insurance provider to learn more about their specific out-of-network coverage. Questions about using your out-of-network benefits? I am happy to help you understand the superbill process.

Frequently Asked Questions

Why don't you bill insurance?

Piece of the Puzzle Counseling & Wellness is a private-pay practice to ensure the highest level of privacy, clinical freedom, and personalized care for clients. Many insurance companies require a mental health diagnosis for coverage and may limit the number or type of sessions you receive. By not billing insurance directly, we can focus entirely on your specific needs without outside interference.

What is a superbill?

A superbill is a detailed document provided to you that outlines the services received and the fees paid. You can submit this document to your insurance company to request potential reimbursement through your out-of-network benefits. While reimbursement is not guaranteed, superbills often help clients recoup a portion of their therapy costs.

Do you offer a Reduced Fee Program?

Yes. Piece of the Puzzle Counseling & Wellness offers a limited number of reduced-fee therapy spots through the Reduced Fee Access Program for clients experiencing financial hardship. Reduced-fee availability is limited, and submitting an application does not guarantee approval. Applications are reviewed based on financial circumstances and current availability.

When is payment due?

Payment is due at the time of session. For your convenience, payments are securely processed through the client portal using the card on file. AutoPay is available and encouraged to keep your focus on your sessions rather than administrative tasks.

What happens if my payment doesn't process?

If a payment fails to process, you will be notified through the client portal to update your payment method. Per practice policy, a valid payment method must be on file, and outstanding balances must be resolved prior to your next scheduled appointment to ensure continuity of care.

Can I use my HSA or FSA card?

Yes. HSA (Health Savings Account) and FSA (Flexible Spending Account) cards are accepted forms of payment. We recommend verifying with your insurance provider or plan administrator to ensure therapy services are a qualifying expense under your specific plan.

Do you offer free consultations?

Yes. I offer a complimentary 15-minute phone consultation to determine whether we are a good fit and answer questions about services, scheduling, fees, or the therapeutic process. This is a great opportunity to explore how we might work together without any initial financial commitment.
